Write down exactly what has changed Find the current appointment records and compare them with the proposed arrangement. Identify the detail changing, the previous value, the new value and the planned effective date. A company address change, a different legal entity, an agent replacement and a new shipment route raise different questions. Calling all of them an account update makes it harder to choose the correct next step. Tell the appointed agent about planned changes before relying on the existing records. Include supporting evidence where the legal name, address or commercial arrangement has changed. If you are uncertain whether a detail appears in the filed notification, send the record and ask for it to be checked rather than assuming no notification action is needed. Your notes: Refer back to the office that received the notification Japan Customs states that changes to information in a filed ACP appointment notification use Form C7500 at the office where the initial notification was filed. Cancellation uses Form C7510 at that office. Its guidance specifies two copies for the paper notifications and also describes NACCS filing routes. Confirm the submission method for the actual case. Keep the original office and notification details with the change request. If more than one office is involved, list the records separately and ask what needs updating at each. A new route should also be checked with the declaration team; updating a contact address does not, by itself, explain where the next procedure will take place. Your notes: Hand over the work as well as the appointment record Before replacing or cancelling an agent, list open shipments, Customs correspondence, requests for evidence and any unresolved appointment tasks. Identify the contact handling each matter during the transition. Keep the broker and commercial team informed where the change affects their work. Agree with the parties who will prepare and submit the relevant notification and who will retain the confirmation. Ending a service agreement is not itself evidence that Customs has received a cancellation. Similarly, signing a new agreement does not show that every office involved has received the required appointment information.
